PROJECT PRIVACY POLICY
Introduction
The RefreSCAR project funded under Horizon Europe, project number 101060553, referred to as “RefreSCAR”, “we”, “us” or “our”, is committed to protect your personal data and to respect your privacy. The RefreSCAR project collects and further processes personal data in line with Regulation (EU) 2018/1725 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data. This privacy policy will explain how our project uses the personal data we collect from you when you subscribe to our newsletter and/or use the SCAR Website (RefreSCAR managed).
1. What data do we collect?
The RefreSCAR project collects the following data:
- Information is collected every time you visit the SCAR Website. This information is described and explained in the section on the use of cookies.
- Information is collected (name and email address) through subscriptions to the SCAR newsletter.
- Information is collected (email address, name, subject of the email and the message you are sending) when you email the RefreSCAR project mailbox (refreSCAR@scar-europe.org).
- Information is collected (email address, name, subject of the email and the message you are sending) when you email the RTD mailbox (RTD-SCAR@ec.europa.eu).
2. How do we collect your data?
You directly provide the RefreSCAR project with most of the data we collect. We collect and process data when you:
- Use or view the SCAR Website via your browser’s cookies.
- When you subscribe to the SCAR newsletter through the project Website (name and email address and if RefreSCAR can send updates in relation to SCAR and SCAR Working Group activities/events).
- Whenever you contact the following email addresses:
- SCAR secretariat seated within the European Commsions (RTD-SCAR@ec.europa.eu )
- Project coordinator Teagasc, Ireland (RefreSCAR@Teagasc.ie )
- Website host and Communication lead in refrescar (refreSCAR@scar-europe.org)
the following data are collected: email address, name, subject of the email and the message you are sending.
Personal data obtained are not kept longer than strictly necessary. Personal data obtained in the context of a Horizon Europe funded project are kept until 5 years after the closing date of the project (or longer (until the legal retention obligation has expired) if required by law) and destroyed after completion. If applicable, when legally allowed or you give your consent, or when granted permissions or protocols allow it, personal data will be kept for any follow-up studies.
3. How will we use your data?
The RefreSCAR project may use your information for the following purposes:
- The use of information collected through cookies on the SCAR website is outlined below.
- Information collected through the SCAR newsletter subscription process is used by the RefreSCAR project to provide updates in relation to SCAR and SCAR Working Group activities/events. This data is inserted into a programme that manages and sends emails (i.e. circulates the newsletter). This programme works offline and your data is not shared externally other than for tracking subscriber numbers to comply with the European Commission's requirement to assess project impact, no further analysis will take place.
- We usually store the emails in the RefreSCAR mailbox (refreSCAR@scar-europe.org) for archive purposes.
Your information will only be used for the purposes outlined above and will never be shared with third parties (such as marketing companies).
4. How do we store your data?
The RefreSCAR project securely stores your data through the SCAR Website via INIAV's (RefreSCAR consortium partner) technological infrastructure, in its public demilitarized zones (DMZ), protected by a state-of-the-art perimeter firewall, with its own public Internet protocol (IP) address. With planned maintenance of the Operating System, Joomla and Hypertext Pre-processor (PHP).
The SCAR newsletter subscriptions are compiled by INIAV, through Joomla Module which will collect name and email addresses, through a subscription request.
The RefreSCAR Project will keep your data (name and email for newsletter subscriptions) for the duration of the project and 5 years afterwards for the purpose of record keeping in-line with Horizon Europe guidelines. Once this time period has expired, we will delete your data.
You have the right to request a copy of any personal data that has been processed by the RefreSCAR project (data subject access request).
5. What are your data protection rights?
The RefreSCAR project would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:
- The right to access - You have the right to request the RefreSCAR project for copies of your personal data
- The right to rectification - You have the right to request that the RefreSCAR project correct any information you believe is inaccurate. You also have the right to request the RefreSCAR project to complete information you believe is incomplete.
- The right to erasure - You have the right to request that the RefreSCAR project erase your personal data, under certain conditions.
- The right to restrict processing - You have the right to request that the RefreSCAR project restrict the processing of your personal data, under certain conditions.
- The right to object to processing - You have the right to object to the RefreSCAR project’s processing of your personal data, under certain conditions.
- The right to data portability - You have the right to request that the RefreSCAR project transfers the data that we have collected to another organization, or directly to you, under certain conditions.
- The right to no longer wish to be contacted – You have the right to no longer wish to be contacted by the RefreSCAR project by sending an email to:refreSCAR@scar-europe.org, expressing this. Or unsubscribing from electronic communications can be done by pressing the ‘unsubscribe’ button (or similar button on the electronic communication received).

6. What are cookies?
Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. When you visit the SCAR website, we may collect information from you automatically through cookies or similar technology.

7. How do we use cookies?
The RefreSCAR project uses cookies in a range of ways to improve your experience on our Website.
We only use first-party Google Analytics cookies to track anonymous usage statistics and do not collect any personal information that can be used to identify you. This helps us analyse data about webpage usage and improve our Website in order to tailor it to visitor’s needs.
Google Analytics stores information about what pages you visit, how long you are on the site, how you got here and what you click on. We do not allow Google to use or share our analytics data.
Google Analytics does not collect any personal information, as identified in their privacy policy. Google also offers a browser plugin that allows users to opt out of their analytics.
8. What types of cookies do we use?
